Terms and conditions
These Terms and Conditions apply to courses, training events, workshops and educational activities provided by the National Tracheostomy Safety Project (NTSP Ltd). NTSP Ltd is a registered UK charity (1160824) and company (09062489). By booking a place on an NTSP course, you agree to these Terms and Conditions.
1. Course bookings
Course places are subject to availability. A booking is confirmed when NTSP has accepted the booking and you have received confirmation by email.
You are responsible for ensuring that the information provided when booking is accurate, including the participant’s name, email address and any relevant professional or organisational details.
Where a booking is made by an employer or other organisation on behalf of a participant, the person making the booking is responsible for ensuring that the participant is aware of these Terms and Conditions.
2. Course fees and payment
The applicable course fee will be displayed at the time of booking.
Unless otherwise agreed with NTSP, payment must be made in full to confirm a place. Payment may be made using the payment methods offered through the NTSP booking system.
Where an organisation has agreed alternative invoicing arrangements with NTSP, payment must be made in accordance with the terms stated on the invoice.
Places are allocated on a first-paid basis.
3. Cancelling your booking
We understand that circumstances can change. If you are unable to attend, please contact NTSP as soon as possible at courses@tracheostomy.org.uk.
Unless different cancellation terms were clearly stated for a particular course when you booked:
- More than 28 days before the course: a full refund will be provided.
- 14–28 days before the course: 75% of the course fee will be refunded.
- Less than 14 days before the course: the course fee is normally non-refundable.
- Non-attendance: no refund will normally be provided.
Where possible, NTSP may allow you to transfer your place to another suitable participant without charge. Please contact us before the course to arrange this.
Nothing in these terms affects any statutory cancellation or refund rights that apply to you.
4. Online bookings and consumer cancellation rights
If you are booking as an individual consumer rather than on behalf of a business or organisation, additional statutory rights may apply to contracts entered into online.
Where applicable, these may include a 14-day cancellation period. If you ask NTSP to provide a course or service during this cancellation period, your cancellation rights may be affected once the service has started or been completed.
These Terms and Conditions do not limit your statutory rights.
5. Transfers to another course
Requests to transfer a booking to another NTSP course will be considered subject to availability.
Where a transfer is agreed, any difference in course fees may be payable or refunded as appropriate. NTSP reserves the right to limit repeated transfers of the same booking.
6. Cancellation or changes by NTSP
NTSP will make all reasonable efforts to deliver courses as advertised. Occasionally it may be necessary to change the venue, timetable, faculty, teaching format or other aspects of a course.
NTSP may also need to postpone or cancel a course because of circumstances such as insufficient participant numbers, faculty illness, venue problems or circumstances outside our reasonable control.
If NTSP cancels a course, participants will normally be offered the choice of:
- transferring their booking to another suitable course; or
- receiving a full refund of the course fee paid.
NTSP will not normally be responsible for additional costs incurred by participants, such as travel or accommodation costs. Participants are therefore advised to consider flexible or refundable travel and accommodation arrangements.
7. Course content
NTSP courses are designed to support education and professional development in tracheostomy care.
Course content reflects current NTSP guidance and educational practice at the time of delivery but may be updated as evidence, guidance, equipment and clinical practice evolve.
Course attendance does not replace professional training, local competency assessment, clinical supervision or the responsibility of healthcare professionals to work within their individual scope of practice and local policies.
8. Certificates and completion requirements
Where a certificate of attendance or completion is offered, participants must meet the requirements specified for that course.
These may include attendance at required sessions, participation in practical activities, completion of online learning, assessments, evaluation or other specified course components.
NTSP may withhold a completion certificate where these requirements have not been met.
9. Practical and immersive training
Some NTSP courses may include simulation, practical skills training, virtual reality (VR), immersive learning or other interactive activities.
Participants should follow instructions provided by faculty and inform the course team if they are unable or do not wish to participate in a particular activity.
Alternative participation arrangements will be considered where reasonably practicable for anyone with particular learning needs, or accessability issues, or any other reasonable adjustments. Adjustment will depend on the venue, format and availability of specialist staff.
10. Behaviour and safety
Participants are expected to behave professionally and respectfully towards faculty, other participants, patients or representatives involved in the course.
NTSP reserves the right to ask a participant to leave a course where their behaviour is unsafe, seriously disruptive, discriminatory, abusive or otherwise unacceptable.
Exclusions are anticipated to be extremely rare, and will be made by the course director. Course fees will not be refunded under these circumstances.
11. Accessibility and reasonable adjustments
NTSP aims to make its courses accessible. If you have accessibility requirements or require reasonable adjustments to participate in a course, please contact us as early as possible before the course.
We will make reasonable efforts to accommodate individual requirements.
Alternative participation arrangements will be considered where reasonably practicable for anyone with particular learning needs, or accessability issues, or any other reasonable adjustments. Adjustment will depend on the venue, format and availability of specialist staff.
12. Photography and recording
NTSP may occasionally take photographs or make video or audio recordings during courses for educational, promotional or communication purposes.
Where identifiable participants are to be photographed or recorded for these purposes, appropriate information will be provided and consent obtained where required.
Participants must not photograph, film or record other participants, faculty or course materials where this has been prohibited by NTSP or where doing so could compromise privacy, confidentiality or intellectual property rights.
13. Intellectual property
Unless otherwise stated, NTSP course materials, presentations, videos, graphics, educational resources and associated content remain the intellectual property of NTSP and/or their respective authors or copyright holders.
Course materials are provided for participants’ personal educational and professional use. They must not be reproduced, sold, republished, distributed commercially or substantially modified and presented as NTSP material without permission.
14. Personal information and data protection
NTSP Ltd is the Data Controller for personal information collected in connection with NTSP courses unless otherwise stated.
Information provided when booking may be used to administer your booking, process payment, communicate with you about the course, maintain appropriate training and attendance records, issue certificates, evaluate and improve our educational activities and meet applicable legal or regulatory requirements.
Where necessary, information may be processed by organisations providing services on behalf of NTSP, such as booking, payment, email, learning-management or course-delivery platforms, subject to appropriate data-protection arrangements.
Personal information will be handled in accordance with applicable UK data-protection legislation and the NTSP Privacy Policy and UK GDPR Data Protection, Data Use and Data Storage Policy. NTSP’s data policy provides rights including access, correction, erasure, restriction and objection, where applicable.

15. Marketing communications
Booking an NTSP course does not automatically require you to consent to general marketing communications. However, we would like to stay in touch with you and to build a community of staff, patients, family and carers who can help to improve tracheostomy care in the UK and beyond.
Where NTSP offers you the opportunity to receive newsletters, information about future courses or other communications, your preferences will be managed in accordance with applicable data-protection and electronic-marketing requirements.
You may unsubscribe from optional marketing communications at any time.
16. Liability
NTSP will take reasonable care in organising and delivering its courses.
Nothing in these Terms and Conditions excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence.
NTSP educational materials are intended to support, rather than replace, appropriate professional judgement, clinical training, local policies and competency assessment.
17. Complaints
If you have a concern or complaint about an NTSP course, please contact us in the first instance so that we can investigate and respond appropriately:

18. Changes to these Terms and Conditions
NTSP may update these Terms and Conditions from time to time. The terms applicable to your booking will normally be those made available to you when the booking was made, unless a change is required by law or is agreed with you.
19. Governing law
These Terms and Conditions are governed by the laws of England and Wales. Nothing in this provision affects any rights a consumer may have under applicable consumer law.
